BigBlueButton and Zoom solve the same task in very different ways. Zoom is a proprietary cloud service; BigBlueButton is open source software you run yourself or have run for you. This comparison names the differences – including the points where Zoom is the better choice.
The short answer
For lessons, seminars and courses tied into a learning platform, a lot speaks for BigBlueButton: teaching features on board, a server location you choose, no per-seat licenses. For very large mixed events with dial-in by phone and a wide range of end devices, Zoom is often more robust. The decision depends less on the feature list than on your scenario.
What BigBlueButton actually is is covered in What is BigBlueButton?.
Side by side
| Criterion | BigBlueButton | Zoom |
|---|---|---|
| License model | open source, no license fees | proprietary, subscription per user account |
| Data location and protection | your choice; with us Germany, ISO 27001-certified data center, DPA | vendor with parent company outside the EU; data center regions selectable depending on plan |
| Teaching features | whiteboard, breakout rooms, polls, shared notes included as standard | available, partly tied to plan or add-on products |
| Participant numbers | depends on the server capacity provided, scaling via Scalelite | high participant numbers depending on plan, separate webinar products for very large formats |
| Installation | none, runs in the browser | browser access possible, desktop and mobile apps recommended and functionally stronger |
| Extensibility | source code accessible, own adaptations and integrations possible | extensions within the vendor's ecosystem |
| LMS integration | native Moodle activity, course participants and roles carried over | connection via add-on modules or LTI |
| Cost logic | operating costs instead of license costs, independent of account numbers | costs grow with the number of licensed accounts |

When Zoom is the better choice
Some scenarios simply favor an established cloud service. Three of them hold up:
Very large meetings. Zoom is built for events with several hundred to several thousand viewers and has dedicated webinar products for them. With BigBlueButton the same task depends on your server capacity and a carefully planned Scalelite setup.
Broad device support. Zoom ships native applications for desktops, mobile devices and meeting room systems. If you serve a very mixed hardware landscape – including older devices and permanently installed conference equipment – you will find more ready-made support there.
Dial-in by phone. Participants can join a Zoom meeting over a normal phone line. That matters when people without a stable internet connection or without a device need to take part. BigBlueButton requires additional components for this, and those have to be set up and maintained.
If you genuinely depend on these points, do not argue them away. A split often works well: teaching in BigBlueButton, large events on the service designed for them.
When BigBlueButton is clearly ahead
On data sovereignty. The software runs on servers you decide about. With us they stand in Germany, in an ISO 27001-certified data center, with a data processing agreement. Third-country transfers never enter the impact assessment. BigBlueButton and GDPR →
On cost logic. Open source means no license fees and no per-seat costs. For a school with thousands of accounts, many of them rarely active, that changes the math entirely: you pay for operations, not for heads.
On teaching. Whiteboard, breakout rooms, polls and shared notes are standard and designed for lessons. Moderator rights are fine-grained, from muting to locking private chats.
On LMS integration. BigBlueButton runs natively as a Moodle activity. Course participants are automatically conference participants, roles carry over, recordings stay in the course. Details on BigBlueButton in Moodle and Moodle hosting.
On guest access. No download, no account, no corporate login: a link is enough. For parents' evenings, external speakers or open course offerings, that difference is noticeable.
How to decide in practice
Three questions usually settle it:
- Where does your core work happen? If daily life runs on courses and lessons, BigBlueButton wins. If the focus is company-wide meetings and telephony, that speaks for Zoom.
- How many accounts do you have – and how active are they? Many rarely active accounts make per-seat licenses expensive.
- How strict are your data protection requirements? When server location and the chain of processing agreements matter in review, self-operated open source is the shorter path. BigBlueButton hosting →
Frequently asked questions about BigBlueButton and Zoom
Is BigBlueButton a full Zoom alternative? For teaching, training and meetings, yes. For phone dial-in and very large broadcast formats it needs extra planning or a second tool.
Is Zoom permitted in the EU? Use is possible but requires a careful data protection assessment, especially regarding third-country transfers. That assessment remains your organization's responsibility.
What does BigBlueButton cost in comparison? The software carries no license fees; operating costs remain. The gap grows with the number of user accounts. Pricing →
Do participants need an app? Not with BigBlueButton – a browser is enough. Zoom can be joined in the browser, but its apps are functionally stronger.
Can we run both systems side by side? Yes. Many organizations use BigBlueButton for courses and a cloud product for large events. That is a legitimate interim solution.
How many participants can BigBlueButton handle? That depends on server capacity and how the room is used. We clarify beforehand which plan size fits your requirements.
Can Zoom be used from inside Moodle? Yes, via add-on modules or LTI. The integration is looser than the native BigBlueButton activity. Rent BigBlueButton →
Conclusion
Zoom is a mature cloud service with real strengths in very large meetings, broad device support and phone dial-in. BigBlueButton is the better foundation for educational organizations: teaching features as standard, native Moodle integration, server location and data protection in your own hands, and costs independent of account numbers. If you teach regularly and need data sovereignty, BigBlueButton is the better fit – if your work is mainly large-format events with dial-in, stay with Zoom or combine the two.
