Anyone running Nextcloud needs an editor for text documents, spreadsheets and presentations. Two open source suites qualify: Collabora Online and ONLYOFFICE Docs. Both run in the browser and both plug into Nextcloud – they differ in origin, format thinking and interface.
The short answer
Collabora Online is the consistent choice when open document formats are mandated or your organization already works with LibreOffice. ONLYOFFICE is the obvious choice when your daily work consists of DOCX and XLSX templates and the interface should resemble the familiar Microsoft environment. Both are open source, and both are ready for production.
How the editor and the file storage work together is described on Nextcloud + Collabora Online. What Nextcloud itself offers is covered in What is Nextcloud?.
Origin: LibreOffice base versus a custom engine
The most important difference sits below the surface.
Collabora Online builds on LibreOffice. At its core it is the same document engine that runs on the desktop, prepared for the browser. Almost everything else follows from that: the same format logic, the same strengths with ODF, familiar behavior for LibreOffice users.
ONLYOFFICE Docs is an independent development. Its engine was aligned with the Microsoft Office formats from the start and renders documents close to what Word, Excel and PowerPoint show.
Both projects are open source and are developed by companies that also offer commercial support and editions for production use.
Side by side
| Criterion | Collabora Online | ONLYOFFICE Docs |
|---|---|---|
| Technical base | LibreOffice technology | custom engine |
| Native format | ODF (ODT, ODS, ODP) | OOXML (DOCX, XLSX, PPTX) |
| Fidelity with the other format | reads and writes OOXML; very complex layouts can shift | reads and writes ODF; very complex ODF documents can shift |
| Interface | modeled on LibreOffice, classic toolbars and menus | modeled on newer Microsoft Office interfaces, tabbed ribbon |
| Collaboration | simultaneous editing, comments, track changes | simultaneous editing with a fast and a reviewed mode, comments, track changes |
| Licensing and editions | open source; a development edition for small setups, a supported edition for production | open source; a free edition with limits, commercial editions from the vendor |
| Resource needs | a separate service alongside Nextcloud; demand grows with concurrently open documents | a separate service alongside Nextcloud; demand grows with concurrently open documents |
| Nextcloud integration | official integration, files stay in Nextcloud | official integration, files stay in Nextcloud |
Two notes on reading this table. We deliberately quote no figures for memory, cores or concurrent connections – they depend on version, usage profile and server sizing, and vendor terms change. And please check the prices of commercial editions directly with the respective vendor.
When Collabora fits
- Open formats are mandated. Many public bodies, schools and government-funded organizations prescribe ODF. Collabora works there in its native language.
- Your organization already uses LibreOffice. Desktop and browser behave similarly, so templates and habits carry over.
- Long-term format independence matters to you. ODF is an open standard without ties to a single vendor.
- You want a lean, well-documented Nextcloud integration. This editor is the standard route to office work in Nextcloud, often under the name "Nextcloud Office".
When ONLYOFFICE fits
- Your working day consists of DOCX and XLSX templates. Forms, reports and workbooks from a Microsoft world stay closer to the original.
- The interface should feel familiar. People coming from Word and Excel find their way around the tabbed interface faster.
- You exchange a lot with external Microsoft users. Fewer differences in the back and forth mean less rework.
- Your spreadsheets are formatting-heavy. Conditional formatting, pivot views and charts in XLSX files are a common sticking point.
The same advice applies either way: test your own critical documents before committing. A handful of real templates says more than any feature table. For workbooks with macros or very complex models, the desktop editor remains the reference – see also Nextcloud vs. Microsoft 365.
What we use at eledia.cloud
We provide Collabora Online as the office solution inside Nextcloud. It runs in the same environment as your instance, on servers in Germany, in an ISO 27001-certified data center, with a data processing agreement. Documents never leave your Nextcloud.
Which Collabora edition we provide, and whether ONLYOFFICE is an option, is something we clarify beforehand.
What that means for data protection and processing is on Nextcloud and GDPR. The full scope of the environment is on Nextcloud hosting.
Frequently asked questions about Collabora and ONLYOFFICE
Which suite is better? There is no blanket answer. What decides it is your main format: ODF speaks for Collabora, OOXML for ONLYOFFICE.
Are both really open source? Yes. Both projects are open source, and both vendors additionally offer commercial editions and support. For the software itself we charge no license fees and no per-seat costs. Pricing →
Can I switch later? Switching editors is possible because the files live in Nextcloud, not in the editor. Test your templates in the new editor first.
What is "Nextcloud Office"? That is the name of the office integration in Nextcloud, which is based on Collabora Online. It refers to the same function.
Can several people write at the same time? Yes, both suites support simultaneous editing with comments and track changes.
Do I still need Microsoft Office? Not for everyday document work. For workbooks with macros, add-ins or very complex models a desktop application is still needed. Microsoft 365 alternative →
Does the editor work offline? No, it runs in the browser against the server. For work without a connection use a local editor; files stay synced through the desktop client. Rent Nextcloud →
Conclusion
Collabora Online and ONLYOFFICE Docs solve the same task from different origins. Collabora thinks in ODF and LibreOffice, ONLYOFFICE in OOXML and Microsoft interface logic. Both offer real-time collaboration, comments and track changes, and both integrate cleanly with Nextcloud. So decide by your main format and a test with your own documents, not by feature lists.
