Nextcloud vs. Microsoft 365 – the honest comparison for 2026

the honest comparison for 2026

Nextcloud and Microsoft 365 cover the same working day: files, documents, calendars, communication. The difference lies in who owns the platform, where the data sits and how you are billed. This comparison shows both sides – including the places where Microsoft is further ahead.

The short answer

Nextcloud wins on data sovereignty, billing logic and the ability to leave. Microsoft 365 wins on advanced spreadsheet features, Teams telephony and enterprise compliance tooling. For schools, associations and many mid-sized organizations the arguments favor Nextcloud; for corporate environments with deeply built Microsoft processes, rarely.

What Nextcloud actually is is covered in What is Nextcloud?.

Side by side

Criterion Nextcloud (at eledia.cloud) Microsoft 365
Data location Germany, ISO 27001-certified data center, DPA depends on plan, parent company outside the EU
Billing model operating costs, independent of account numbers subscription per user account per month
Office feature depth Collabora Online with text, spreadsheet, presentation; ODF native, OOXML supported very broad feature set, desktop and web apps, deep format support
Collaboration simultaneous editing, comments, versioning, group folders, share links without an account simultaneous editing, SharePoint structures, extensive workflow tooling
Communication Talk for chat and calls, BigBlueButton for teaching and larger conferences Teams as a tightly woven chat, meeting and telephony platform
Administration one interface, manageable scope, clear permissions very powerful administration, correspondingly steep learning curve
Extensibility open source code, app store, own adaptations, open interfaces extensions within the vendor's ecosystem
Exit strategy open formats, export any time, move to your own server export possible, rebuilding grown processes is costly

We do not quote prices here: Microsoft plans change, and for our packages We will quote the right plan size and price on request. applies. The structural difference stays: per-seat subscription versus operating costs.

What Nextcloud does better

Data sovereignty without the third-country question. The instance runs on a server in Germany. That removes the most laborious part of a data protection impact assessment: assessing transfers to third countries. Nextcloud and GDPR →

Costs that do not grow with account numbers. Open source means no license fees and no per-seat costs. A school with many rarely active accounts pays for operations, not for heads.

Openness instead of an ecosystem. Source code, formats and interfaces are open. You can add features, connect other systems and move the instance to your own hardware at any time.

External collaboration without accounts. Share links with password and expiry date are enough. If you work occasionally with parents, volunteers or partner companies, you save yourself guest accounts and license questions.

Manageable administration. Fewer products, less interlocking, less training. For small IT teams that is a real advantage.

Where Microsoft 365 is ahead

These points cannot be argued away:

Advanced spreadsheet features. Power Query, Power Pivot, complex data models and VBA macros have no equivalent in Collabora Online. If your specialist processes live in workbooks like these, test those files before deciding anything.

Teams telephony. In many organizations Teams has replaced the phone system, including numbers, queues and forwarding. Nextcloud Talk covers chat and calls, not a company's telephony.

Enterprise compliance tooling. Legally sound retention, eDiscovery, comprehensive content classification and the policies built on top of it are far developed at Microsoft. Where regulators or group requirements demand exactly that, the gap is wide.

Add the habit factor: a team that has worked with Outlook, Excel and SharePoint for years will lose speed at first.

Planning a realistic migration

A switch works when it runs in stages rather than on a single cut-over date.

  1. Take stock. Which files, mailboxes, channels and processes exist – and which are actually used?
  2. Test the critical files. Open your most important DOCX and XLSX templates in Collabora once and see where they break. Nextcloud + Collabora Online →
  3. Pilot group. One department or year group works productively in Nextcloud for four to six weeks.
  4. Move the data. Mirror files, import calendars and contacts over open standards.
  5. Connect identities. Link your user directory and map groups and shares cleanly.
  6. Train and switch. Short introductions, a fixed date, brief parallel operation.
  7. Retire the old system. Set it to read-only first, then shut it down.

A partial move is a legitimate goal: files and video conferencing first, specialized workbooks later or not at all.

Who benefits from the switch?

Usually yes: schools and training providers with many accounts and tight budgets (solutions for schools), associations and clubs (solutions for associations), public bodies with data sovereignty requirements, and companies with clear file and document processes (solutions for companies).

Usually no: organizations whose core processes sit in Excel macros, Power BI, Power Automate or heavily customized SharePoint sites – or who run Teams as their phone system. A partial move makes more sense there than a full switch. The product page for this is Microsoft 365 alternative.

Frequently asked questions about Nextcloud and Microsoft 365

Can Nextcloud fully replace Microsoft 365? For files, documents, calendars, contacts and communication, yes. For highly specialized spreadsheet models, Teams telephony and enterprise compliance tooling, no.

Will our Word and Excel files keep working? Yes. Collabora Online opens and saves DOCX, XLSX and PPTX. Test very complex templates before you switch.

What about data protection? With us Nextcloud runs in Germany in an ISO 27001-certified data center, including a data processing agreement. Assessing your specific use remains your responsibility.

What happens to our email? Nextcloud includes groupware for mail, calendars, contacts and tasks over open standards. Whether your mail server moves along is a separate decision.

How long does a migration take? That depends on data volume, account numbers and processes. We agree the scope and duration of migration support with you beforehand.

Can we go back? Yes. Data is stored in open formats and can be exported.

Can we run both in parallel? Yes, that is the usual route during a transition. Files and video conferencing already run in the new environment while individual specialist applications stay in place for now. Rent Nextcloud →

Conclusion

Microsoft 365 is a very broad, deeply integrated product and stays ahead on advanced spreadsheet work, telephony and compliance tooling. Nextcloud wins where data sovereignty, predictable costs and the ability to leave matter – and it fully covers the daily work of files, documents, scheduling and communication. The honest answer for 2026: test your critical files and processes, then plan the switch in stages rather than in one jump.
