Nextcloud is an open source platform for files, collaboration and communication that runs on your own servers. It replaces Dropbox, OneDrive or Google Drive – without per-seat licenses and without your data flowing into someone else's cloud. This article explains what Nextcloud does and when a switch pays off.
Nextcloud in brief
Nextcloud is open source. The source code is open, and there are no license fees and no per-seat costs. You pay for operations, not for the number of accounts.
The second key point is location. Nextcloud does not live in a vendor's cloud but on a server you decide about. With us that server sits in Germany, in an ISO 27001-certified data center, with a data processing agreement. What that means for data protection is covered on Nextcloud and GDPR.
The third point is scope: Nextcloud is more than file storage. Calendars, contacts, chat, video calls and groupware are part of it.
How does Nextcloud work?
Nextcloud consists of a server component and the ways you reach it. The server holds files, permissions and applications. Access happens three ways:
- In the browser. A full interface for files, shares, calendars and apps – no installation, on any machine.
- Through the desktop client. A sync folder on Windows, macOS and Linux. What sits there also sits on the server. Files can be downloaded on demand instead of mirroring everything locally.
- With the mobile apps. File access on the move, automatic photo upload, calendar and contact sync over open standards.
Because Nextcloud relies on open protocols, third-party software works too: calendars and contacts can be connected to common mail programs, and file access is available over WebDAV.
What features does Nextcloud include?
- Files. Storage, folder structures, versioning, trash bin, full-text search and group folders for departments or classes.
- Shares. Internally with people and groups, externally through links – optionally with password, expiry date and write access. Recipients need no account.
- Calendar. Personal and shared calendars, appointment booking, reminders, sync with mobile devices.
- Contacts. Address books for individuals and teams, likewise syncable.
- Talk. Chat, voice and video calls inside Nextcloud, including guest access by link. For teaching and larger conferences, BigBlueButton is the better fit.
- Groupware. Mail, tasks and notes turn collaboration into a workplace in the browser.
- App store. Functions can be added selectively – forms, polls, project boards or signatures. You decide what is active.
Which apps are available by default and which we enable in addition is something we clarify during setup.
Nextcloud and office work: Collabora Online
Nextcloud stores files but does not edit them itself. That is what Collabora Online is for – an open source office suite that runs in the browser and plugs into Nextcloud.
In practice: you click a document in Nextcloud, it opens in the editor, and several people write in it at the same time. Text documents, spreadsheets and presentations are covered, with ODT, ODS and ODP as native formats. DOCX, XLSX and PPTX can be opened and saved, so exchange with Microsoft Office users keeps working.
What matters is where the processing happens: documents never leave your instance. More on Nextcloud + Collabora Online and in the comparison Collabora vs. ONLYOFFICE.

Run it yourself or have it hosted?
Nextcloud is freely available – the effort sits in operations. A production server needs regular updates, backups, monitoring and solid storage planning.
| Aspect | Self-hosted | Hosted with us |
|---|---|---|
| License fees | none | none |
| Updates and security | your responsibility | handled by us |
| Backups | set up and test them yourself | already in place |
| Data protection documentation | you write it | DPA and documentation available |
| Knowledge required | Linux, web server, database, storage | none required |

Frequently asked questions about Nextcloud
Is Nextcloud free? The software is open source, with no license fees and no per-seat costs. Costs arise for servers, maintenance and support. Pricing →
How much storage do I get? Storage depends on the plan you book. We will tell you the included storage sizes on request.
Can external people access files without an account? Yes, through share links – optionally with password, expiry date and write access.
Does Nextcloud Talk replace our video conferencing? For chat and smaller calls, yes. For teaching and larger conferences we recommend BigBlueButton.
Can Nextcloud be connected to Moodle? Nextcloud and Moodle can run together and be linked over interfaces. We host both from one source. Moodle hosting →
Is Nextcloud GDPR-compliant? With us Nextcloud runs in Germany in an ISO 27001-certified data center, with a DPA in place. Assessing your specific use remains your task; we supply the documentation for it. Nextcloud and GDPR →
Can we move away later? Yes. Data is stored in open formats and can be exported or moved to your own server.
Conclusion
Nextcloud is a complete cloud platform that belongs to you: files, calendars, contacts, chat and office work in one place, on a server of your choosing. The commercial difference lies in the billing model – operations instead of per-seat licenses – the legal one in the server location. In return, effort shifts into maintenance and backups. If you would rather not do that work yourself, rent the environment and keep data sovereignty anyway.
